Minutes 12-2021

Senior Men’s Interclub Team Reps Meeting December

Jacksonville Golf and Country Club

  1. Call to Order (9:00 am) – The Meeting was called to order by Chairman Bob McBride.
  2. Introductions and Announcements – Each of the individuals present introduced themselves and stated the “Club” they represent and/or their specific Senior Men’s Interclub (SMI) responsibility they preform.  Glenn Dobrick from Sawgrass introduced his new replacement, John Caden.  Please see the sign in list for details.
  • Approval of the minutes from the June 2021 SMI Meeting – The minutes had been circulated to the Club Reps during the summer of 2021. The minutes were also available on-line and a paper copy was made available at this meeting.  The minutes were approved as presented.
  1. Officer Reports –
  2. Financials – Treasurer Bruce MacDonald presented the financials for 2021. The bills have all been paid and the SMI showed a positive $530.12 balance.  However, because of weather, one Match was cancelled so the financials do not compare equally with the prior year.  Chairman Bob McBride then added that he had not added the $350.00 charge from Leaderboard King for the final 7 Matches.  The corrected balance now stands at $180.12.
  3. Scheduling – Barney Poston gave the report for Allen Witham. The following dates and locations are under contract at $70/golfer for 2022:  1/10 Hidden Hills, 2/7 Eagle Harbor, 3/21 Palencia, 4/11 Eagle Landing, 5/23 Deercreek, 6/27 San Jose, 7/11 Queen’s Harbour, 8/22 Osprey Cove, and 9/12 Marsh :Landing.  Jacksonville Golf and Country Club is scheduled for October but no contract has yet been signed.  Marsh Landing is set to undergo a renovation starting in September 2022 and has requested to move to a Spring date.  Several venues offered to work with Marsh Landing to help with this issue.

Jon Peterson was able to negotiate a contract understanding with Deerwood Country Club to hold The Barney Poston Cup on November 21, 2022 for $80.00/golfer.  IT  WAS MOVED, SECONDED AND ALL APPROVED THIS ARRANGEMENT.

A discussion was held regarding the fees per golfer at Matches for 2022 as the Club’s costs have gone up for food and beverage as well as golf course maintenance.  Leaderboard King will be a wash with our prior system at only 40 cents per golfer per match.  Suggestions regarding outside sponsors, a 50:50 raffle and others were considered.  A subcommittee was appointed to consider a 50:50 raffle (Vincent Celestino, Alan Harmon, and Treasurer Bruce MacDonald).

IT WAS MOVED, SECONDED AND APPROVED TO ELIMINATE THE GIFT CARD DOOR PRIZES AT THE BARNEY POSTON CUP TO REDUCE THIS COST.

IT WAS MOVED, SECONDED, AND APPROVED THAT THE CONTRACTS FOR 2022 WITH THE CLUBS WOULD BE ADJUSTED TO $75/GOLFER.

  1. Technical Support – Jack Garrity posted his report via email to the Reps. This was reviewed.  It was remarked that he spends hours per Match in his analysis.  His outstanding work is appreciated.
  2. Webmaster – Barney Poston made remarks about his work and answered questions from the group. He urged the Reps to call him immediately if they have changes in their rosters as this impacts his cart and tee pairings.  He also noted that having two tees at a Match results in many more pairing issues AND each such Match has resulted in players complaining that they are assigned to the wrong tees or that their handicaps are incorrect for their assigned tees.  He stated that he spends hours on each Match.  Barney requested that the Reps poll their members to see if anyone would be willing to take over some or all of his duties.  His duties include maintaining the website and emailing SMI correspondence.  Barney also noted that SMI’s domain name (jaxsi.org) must be renewed in January 2022 at a cost of $30-$40.  The group also acknowledged his outstanding work.
  3. Report of the Nominating Committee – Ray Cabano reported that the current individuals holding SMI positions had agreed to continue in their current roles.  IT WAS MOVED, SECONDED, AND APPROVED THAT THE CURRENT INDIVIDUALS HOLDING ELECTED POSITIONS IN THE SMI WOULD CONTINUE IN THEIR ROLES FOR THE 2022 SEASON.
  4. Old Business –
  5. Alternative scoring system – Chairman McBride reviewed our experience with Leaderboard King (LBK). Our contract with LBK for 2022 will be $450 for the year.  A poll of the Reps approved keeping LBK for 2022.  The program can do more than what we are asking it to do but it cannot do the pairings in the way we want.  Bob requested volunteers to participate in running the Leaderboard King and Scoring Table at the end of each Match to be sure our future Matches are covered in the event that our current individuals are unable to attend.
  6. Dual Tees – IT WAS MOVED, SECONDED, AND APPROVED THAT GOING FORWARD THE SMI MATCHES WOULD USE ONLY ONE SET OF TEES FOR ALL GOLFERS AND THE PARAMETERS WOULD BE SET AT GREATER THAN TO 5,400 YARDS AND LESS THAN 6,000 YARDS AS CHOSEN BY THE CLUB/TEAM REP FOR THAT MATCH.
  7. COVID Update/cart pairings – IT WAS MOVED, SECONDED, AND APPROVED THAT CARTS WOULD CONTAIN GOLFERS FROM THE SAME CLUB WITH TWO SEPARATE CLUBS REPRESENTED IN EACH FOURSOME.
  • New Business –
  1. Barney Poston Cup Prizes – It was decided to keep the future prizes the same as those awarded this year except that the gift card door prizes would be eliminated.
  2. Date and Location of the June Reps Meeting – Alan Harmon suggested that he would be willing to host the Meeting at San Jose Country Club if he can get approval from the SJCC Golf Committee.
  3. Standardized Pin Positions. It was mentioned that a subcommittee could evaluate the possible pin positions at each member club and set up a set of standard pins that the club would be required to use for SMI Matches.  It was thought that this step might lead to improved “pace of play” and more enjoyment for the visiting golfers.  It was elected to defer any consideration on this suggestion to the June Reps Meeting.
  • Adjournment – IT WAS MOVED TO ADJOURN AND WAS APPROVED BY A VOICE VOTE.

Submitted as DRAFT MINUTES for review by all SMI Reps.

Alan Harmon, SMI Secretary.
