SMI Representatives Semiannual Meeting Minutes June 23, 2022
1) The meeting was called to order by Chairman Robert (Bob) McBride at 9:30 am. The meeting was held at San Jose Country Club.
2) All of the Team Reps or their Alternates introduced themselves (Deercreek/Dave Bradley, Eagle Harbor/Fred Track & Jim Begley, Eagle Landing/Junius Hill & Mac McKernan, Hidden Hills/Allen Witham & Barney Poston, Jacksonville Golf & Country Club/Dennis Fallen, Long Point/Bob Dewey & Dick Fruechtenicht, Marsh Creek/Tim Nichols & Vinny Celestino, Marsh Landing/Ray Cabano, Osprey Cove/Jon Peterson, Palencia/Jim Kerr, Queen’s Harbour/Bruce MacDonald &John Asmuth, San Jose/Alan Harmon, Sawgrass Country Club/John Caden, and World Golf Village/Bob McBride).
3) The December 2021 SMI Meeting Minutes were presented online/email, moved/seconded/and approved without objection.
4) The officer reports:
(a) Financials (Bruce MacDonald) – Leaderboard King has been paid for the year (2022). The SMI currently has a surplus and is projected to finish the year with a surplus that will allow proper funding of the Poston Cup at Deerwood Country Club in November 2022.
(b) Scheduling (Allen Witham) – The schedules from 2019 to 2022 were displayed. Several clubs are scheduled for significant work on their golf course in 2023. Once these clubs have been scheduled for 2023, then the other clubs will be requested to submit their preferred dates for SMI Matches for 2023.
The 2022 Poston Cup will again be played at Deerwood. The “door prizes” will be eliminated and there will be approximately $3,000.00 available for this event. The fee for Deerwood will be $80/golfer and there will be no $3/golfer “hold back” for administrative costs. The surplus will be available to supplement the Poston Cup costs including the payouts for those that finish the season in the top positions. Jon Peterson will discuss with Deerwood the possibility of them hosting the Poston Cup in 2023. If Derwood cannot host the Poston Cup in 2023, then we will need to consider other options (St. Johns Golf & Country Club, The Golf Club of South Hampton, etc.).
(c) Technical Support (Jack Garrity) – Jack Garrity will do the scoring for the SMI Match at SJCC (6/27/22) from home via Leaderboard King. It was noted that there were significant issues with Leaderboard King during a recent SMI Match but the problem has been identified and resolved.
(d) Webmaster (Barney Poston) – The current website is paid for by the one ad on the site. The domain name (jaxsi.org) was renewed in January 2022. In May, one club could not submit their roster which may have been an issue with this specific MAC User It was noted that we need to recruit and train a new webmaster.
5) Report of the Nominating Committee (Ray Cabano) – No changes to report.
6) Old Business:
(a) Leaderboard King (LBK) Update – The SMI tie breaker protocol outlined in the SMI documents has now been programmed into LBK. The new “universal scorecard” can be forwarded to the hosting Club Pro by a “PDF”. It was decided to have four players on one card. The maximum point total for “new players” (first 3 SMI Matches) of 38 has now been programmed into LBK.
(b) COVID Update -It was decided to keep two members from the same Club in each cart for the rest of this year and to readdress this at the December 2022 SMI Reps Meeting. It was noted that having the computer randomly assign the cart occupants is less work.
(c) Course Yardage – It was agreed to keep the same yardage standards (5,400 – 6,000 yards). If a Club wants to change their tees/yardage, their Team Rep will need to work with Jack Garrity to document the certified yardages and then work with the webmaster (Barney Poston) to have the new, certified tees/yardages placed on the website. There was a brief discussion regarding the website instructions for SMI Matches and Team Reps obligations including SMI rules and regulations for course set up appropriate for a typical senior golfer and pace of play*.
7) New Business:
(a) Website and Administrative Support – It was again mentioned that the SMI needs to recruit and train a new webmaster (and a new technical support administrator?).
(b) The Team Reps from Marsh Creek and Palencia will contact their Pro Shops to see if they can host the December 2022 SMI Team Reps Meeting.
(c) It was moved/seconded/and approved without objection to adjourn this SMI Team Reps Meeting.
*After the SMI Match at San Jose Country Club, Chairman Bob McBride requested Vice-Chairman Jon Peterson, Alan Harmon, and Fred Track to review various documents related to the SMI Matches including the checklist. These documents were forwarded to this group by Chairman McBride. Subsequently, these documents were reviewed, updated, and posted to the website.
